Administrative Assistant
Position Description


This is entry-level clerical and staff support work in a busy, high-paced office environment.

The position allocated to this classification reports to a designated supervisor and works under close supervision.

Essential Job Functions

Depending on area of assignment:

  • Acts as a receptionist, answers phones and responds to inquiries, referring non-routine information requests.
  • Provides staff support backup.
  • Maintains departmental calendars, including scheduling meetings.
  • Fulfill public records requests.
  • Obtains needed office supplies.
  • Collects, compiles, prepares, distributes and maintains regular reports, correspondence, forms, data, records and information.
  • Operates and helps maintain all office/postal machines, including computers, meters and printers.
  • Receives, processes and distributes mail.
  • Assists staff with entry and evaluation of locates and standard Zoning/Building correspondence.
  • Receives customers in a professional manner and collects payments as required.
  • Attends work on a continuous and regular basis.

Non-Essential Job Functions

Depending on area of assignment:

  • Assists in preparation of electronic content management and in the distribution of office supplies.
  • Assists City Clerk and Utility Clerk with clerical and administrative details.
  • Performs other related duties as assigned.


To perform this job successfully, an individual must be able to perform each essential job function satisfactorily. A valid Florida Driver’s License, credit and background check is required

Education and Experience

Graduation from high school or possession of an acceptable equivalency diploma; and one year of experience in clerical or routine maintenance of records; or an equivalent combination of education, training and experience which provides the required knowledge, skills and abilities.

Typing at a speed acceptable to departmental needs.  Accuracy is a must.

Work may require demonstrated proficiency in relevant software and basic computer skills.

Knowledge, Skills and Abilities

Depending on areas of assignment:

  • Knowledge of and ability to use computers, basic office equipment and relevant software.
  • Knowledge of office terminology, practices, procedures, spelling and arithmetic.
  • Knowledge of governmental budget procedures.
  • Knowledge of City geography and location of City and County buildings.
  • Skills in accurate handling of large sums of money.
  • Ability to keep records and prepare reports.
  • Ability to operate work related equipment.
  • Ability to understand and follow oral and written instructions.
  • Ability to work effectively with co-workers, administrative staff, internal and external customers and the general public.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to perform varied office and clerical work involving administrative responsibility
